The primary role of an Appointment Scheduler is to answer all incoming phone calls and schedule appointments or redirect phone calls to the appropriate resource(s), as necessary. Other job duties include the following:

Answer phones as a first level resource for the clinic
Schedule patient appointments for physicians and labs in NextGen EMR
Maintain working knowledge of department processes and protocols
Maintain cooperative working relationships with patients, peers, physicians, and management
Build and manage physician schedules
Attend staff meetings
Perform other duties required of appointment schedulers, as needed


Sit in a chair for long periods of time
View a computer monitor for long periods of time
Talk to multiple patients/customers for long periods of time
Treat all patients/customers with a positive customer service attitude
Understand and convey physician schedules and protocols
Solve appointment scheduling conflicts
Handle stressful conversations, especially when addressing difficult or ill patients
Proficiency in speaking, writing, and spelling in English
Spanish is a plus
NextGen EMR is a plus
