- Greet patients with professionalism and warmth, setting a positive tone for their visit.
- Manage the check-in process, verify patient information, confirm appointments, and update electronic medical records.
- Coordinate the check-out process, provide follow-up instructions, schedule labs and future appointments, and prepare any necessary documentation for patients.
- Educate patients on clinic policies, billing processes, and online portal access.
- Collect co-pays, deductibles, and other payments at the time of service; issue receipts as needed.
- Verify insurance eligibility and explain benefits or financial obligations to patients as necessary.
- Balance cash drawers at the end of each day and prepare daily transaction reports.
- Assist with documentation by collecting, reviewing, and ensuring the accuracy of patient information and medical records.
- Maintain confidentiality and HIPAA compliance in all patient records and communications.
- Scan, upload, and organize patient documents in the EHR system for secure and efficient retrieval.
- Answer phones promptly, providing information, routing calls, and taking messages as needed.
- Handle appointment scheduling, cancellations, and rescheduling requests in a timely manner.
- Assist with filing, faxing, and mailing documents as required.
- Respond to patient inquiries in person and by phone, delivering a high level of customer service.
- Maintain a clean and organized front desk area and waiting room.
- Assist with special projects as directed by the clinic manager, including administrative support for clinical staff when needed.
- Support the physicians and clinical team in maintaining a positive, collaborative work environment.
