The primary purpose of the Front Desk Receptionist is to enhance the client experience by servicing clients and prospective clients. Your exceptional verbal and written communication skills will be of paramount importance as you use them. Your knowledge of firm policy, procedures and technology allows you to interface with clients and prospective clients, anticipate their needs, resolve their concerns, and follow through with exceptional client service. You will perform administrative duties that support the team in their daily business practices
Essential Responsibilities
· Act as the primary point of contact for all client interactions; to deliver high quality client service, building rapport in a professional, caring, and timely manner
· Greet clients and makes them feel comfortable when they visit the office
· Gather basic information from cold call prospects
· Maintain an orderly and inviting Front of House
· Keep all team members updated on information and activities related to clients via CRM
· Handle all incoming phone calls and route to relevant team member
· Schedule Discovery meetings, IPS meetings, MCM meetings (if applicable)
· Coordinate telephone system issues
· Monitor and order office supplies and sundries
· Maintain and manage third party scheduling software
· Prepare conference rooms for meetings
· Mange all incoming mail/outbound mail
· Assist in the coordination of client and social events
· Track client birthdays, anniversaries and important dates to coordinate cards and gifts
· Light housekeeping duties of communal areas
