Job Overview: The Check-Out Associate (COA) is responsible for greeting patients as they check-out following appointments, offering friendly, professional and prompt assistance. The COA will review provider’s orders to coordinate and schedule follow-up appointments and collect outstanding balances for coinsurances and/or private pay. The COA will help us build a unique, family-focused center that is changing the lives of patients who have hearing loss. This valued individual will join a team of professionals who are passionate about providing excellent service to children, adults and their families.
Principal Duties and Responsibilities:
• Appointment check-in/check-out, including collection of co-pays and fees owed.
• Utilize courteous and professional customer service techniques and interpersonal skills to establish and maintain rapport with patients, clinicians and outside professionals.
• Schedule patients for speech, audiology and family services appointments.
• Verify patient’s insurance eligibility and obtain pre-requisite documentation ahead of appointments, including physician orders, referrals, and prior authorizations.
• Perform insurance eligibility checks for patients scheduled in clinic and work closely with billing manager to make sure financial requirements of patient are met at time of appointment.
• Answer incoming calls and input accurate registration data, such as patient demographics, insurance information, and clinical data into EMR (Athena) software system.
• Maintain strictest confidentiality of patient and organization information, including adherence to all HIPAA guidelines/regulations, best practices and internal policies
• Perform general office duties, including keeping front office and reception area tidy, order supplies, retrieve and distribute mail, and other projects as assigned by management.
Qualifications:
• High School Diploma or Equivalent GED
• Bilingual, English/Spanish fluency in both spoken and written form
• Minimum (1) year experience in medical office setting or similar position
• Demonstrated customer service skills
• Microsoft applications, proficiency in EXCEL and EMR system, Athena a plus
• Medical terminology a plus
• Have a pleasant and assertive personality, performing with friendly smile and tone
• Be a TEAM player in a fast-paced and growing office environment
• Possess a strong work ethic, and attention to detail, be highly organized and capable of effective time management, prioritization and multi-tasking
• Exhibit excellent communication and interpersonal skills with patients and co-workers
