• Answer phones, welcome clients, and relay client messages
• Answer client questions within the principal responsibilities.
• Create & maintain files & databases for Jobs and Contacts (Physical & Digital)
• Create, mail, &/or route all incoming and outgoing correspondence including certifications, faxes, letters, transmittals, reports, etc.
• Enter project timesheets into QuickBooks for job costing
• Receive and send all mail, USPS, UPS and others
• Coordinate scheduling of inspections, client meeting, and management
• General bookkeeping including invoicing, accounts receivable, client information and follow up on overdue invoices
• Print and prepare drawings as assigned
• Perform other job-related duties as assigned


• Minimum high school diploma, some college education is preferred
• MS Office experience is required
• Microsoft SharePoint experience is desired but not required
• QuickBooks experience is desired but not required
• Great communication skills, reliability, and quick learning ability are musts
