Chief of Staff
We are a boutique consulting firm based in The Woodlands, Texas. Our practice is focused on the financial services industry and spans the United States as well as internationally. We are seeking a highly competent and well-organized Chief of Staff to add to our team to provide administrative and marketing/PR support.
Strategic Planning and Execution. This position would be involved in Strategic Planning and Execution, specifically collaborating with the executive team to develop and execute strategic initiatives, ensuring alignment with company goals and monitor key performance indicators (KPIs) and provide insights to optimize business performance.
Project Management. This role would lead and manage special projects from inception to completion, ensuring timely delivery and effective cross-functional collaboration, as well as act as a project manager for key company-wide initiatives, ensuring milestones are met and goals are achieved.
Communication and Liaison. Our Chief of Staff would serve as a primary point of contact between the President and internal/external stakeholders; draft and edit correspondence, presentations, and reports on behalf of the President; and prepare and facilitate high-level communications, presentations, and reports for executive audiences. This role may also draft and edit correspondence, presentations, and reports on behalf of the President and collaborate with finance professionals to streamline financial processes, enhance reporting efficiency, and ensure alignment with organizational objectives.
Meeting Coordination. This position would be involved in Meeting Coordination, specifically preparing meeting agendas, catering, program materials, and follow-up on action items. Such meetings would include monthly staff meetings, remote team meetings, project meetings and or meetings with guests in our office.
Team Collaboration. Our Chief of Staff should foster positive relationships with internal and external stakeholders, collaboration and alignment across all staff, ensuring effective communication and coordination. This position may also represent the President in internal meetings when necessary, articulating the President's vision and priorities.
Travel Coordination. Our Chief of Staff would be responsible for arranging complex domestic and international travel itineraries, including flights, accommodations, and transportation for MGL’s President and executive staff to ensure that travel plans align with individuals’ schedules and business objectives. This position would also assist MGL’s President with completion (for President only) and tracking of expense reports for the President and executive team members.
Confidentiality and Discretion. As Chief of Staff this person would be privy to confidential information, as such we would expect that they will handle sensitive information with the utmost confidentiality and discretion, as well as manage confidential documents and communications in a secure manner.
Task Prioritization and Follow-up. Our Chief of Staff will be responsible for assisting MGL’s President with prioritizing tasks and deadlines, ensuring the President is well-prepared for upcoming commitments. To further aid and support, our Chief of Staff would be responsible for following up on action items and commitments made during meetings.
Event Sponsorship Planning. MGL’s Chief of Staff will also be expected to take a lead role in planning and executing sponsorship opportunities for key industry events, conferences, and strategic initiatives. Identify and assess potential sponsorship opportunities aligned with the organization's goals and target audience. Collaborate with cross-functional teams to develop compelling sponsorship proposals and materials that showcase the value proposition for potential sponsors. Coordinate logistics for sponsored events, working closely with internal teams to deliver a seamless and positive experience for sponsors. Analyze the effectiveness of sponsorship activities, providing insights and recommendations for future strategies to maximize ROI.
Marketing and Public Relations (PR) Coordination. MGL’s Chief of Staff will be responsible for managing and coordinating key marketing initiatives including corporate website, corporate LinkedIn page, LinkedIn marketing, direct marketing campaigns via Salesforce or other medium. Taking a lead role in working with prospective customers to prepare proposals, contracts, new client announcements and coordinate with executive team as needed to answer questions for prospects. Managing and coordinating all aspects of public relations activities, serving as a central point of contact for PR firm. As well as collaborating with external PR agencies, internal teams, and key stakeholders to craft compelling messaging and narratives aligned with organizational goals.
A strong attention to detail and a high level of accuracy are expected. Proficiency with all Microsoft Office products is required. Experience with Salesforce and Constant Contact are highly preferred. Database management skills and website maintenance skills are a definite plus! Bilingual skills are also highly preferred.
Our ideal candidate should also have a reasonable level of experience with internet research and a strong desire to learn and grow. With this position, the ability to multitask and remain organized is a must, as is the ability to meet critical deadlines. A bachelor’s degree is preferred.
