Office Assistant for Interior Design Firm
Administrative Support:
Answer phone calls, emails, and inquiries; maintain professional communication with clients, vendors, and stakeholders.
Schedule appointments, meetings, and client consultations; manage the designer’s calendar.
Organize and maintain physical and digital files, including project documents, contracts, invoices, and samples.
Project Coordination:
Assist in the preparation of presentations and design proposals for clients, including compiling materials and samples.
Support the project tracking process by updating timelines, budgets, and progress reports.
Client Interaction:
Greet clients and visitors in a courteous manner and assist with inquiries.
Coordinate client follow-ups and ensure timely communication regarding project updates and details.
Office Management:
Maintain a clean and organized office environment; order office supplies as needed.
Manage vendor relationships and assist with procurement of materials and furnishings for projects.
Research and Design Support:
Conduct research on design trends, materials, and resources to support design projects.
Assist in sourcing furniture, fixtures, and decor items aligned with client preferences and project needs.
High school diploma or equivalent; additional education in interior design or business administration is a plus.
Previous experience in an administrative role, preferably in the interior design or creative industry.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with design software (e.g., AutoCAD, SketchUp) is a plus.
Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
